1. Who this policy applies to

This Privacy Policy applies to Simplify AI Academy, operated by Simplify AI LLC ("Simplify AI Academy," "we," "us," or "our"), and covers our website, free preview pages, email lists, checkout pages, course platform, community, support forms, and related services.

By using our website, joining the free preview, purchasing the AI Operations & Automation Masterclass, joining a cohort, or contacting us, you acknowledge that we may process personal information as described in this policy.

2. Personal information we collect

Depending on how you interact with us, we may collect the following categories of personal information:

  • Contact information: name, email address, business name, role, and similar details you provide through forms or checkout.
  • Account and course information: login details, course enrollment, lesson progress, downloads accessed, community participation, cohort activity, and support history.
  • Payment and transaction information: purchase date, product purchased, price, refund status, payment-plan status, billing address, and transaction identifiers. Payment card details are handled by our payment processors, not stored directly by us.
  • Form and assessment information: answers you submit in the free preview, waitlist, AI Readiness Assessment, Agency Profiler, refund request forms, or similar forms.
  • Course evidence and submitted materials: Time Saved Tracker entries, Lab deliverables, workflow notes, support attachments, comments, testimonials, Loom or video critique submissions, and other materials you choose to submit.
  • Optional profile information: LinkedIn profile, agency website, business type, team size, revenue band, pressure point, or similar information if you provide it.
  • Technical and usage information: IP address, device type, browser type, pages visited, links clicked, referral source, cookie identifiers, approximate location, and similar analytics data.
  • Communications: emails, support messages, survey responses, community posts, and other communications you send to us.

Do not submit client-confidential, regulated, sensitive, or legally restricted information unless you have the right to do so and have removed or masked unnecessary personal information.

3. How we collect information

  • Directly from you when you fill out forms, join the free preview, buy a product, request support, submit Labs, post in the community, or contact us.
  • Automatically through cookies, analytics tools, platform logs, and similar technologies.
  • From service providers such as payment processors, course platforms, CRM tools, email tools, analytics providers, and community platforms.
  • From public or user-provided sources if you share a public profile, agency website, LinkedIn profile, or testimonial material.

4. How we use personal information

We use personal information for the following purposes:

  • To provide website access, course access, free preview access, downloads, templates, community access, cohort operations, and support.
  • To process purchases, subscriptions, payment plans, invoices, refunds, taxes, fraud checks, and account administration.
  • To personalize course recommendations, playlists, pressure-point paths, onboarding, cohort communications, and support responses.
  • To send service emails, login emails, purchase confirmations, course updates, cohort notices, support replies, and refund or billing messages.
  • To send marketing emails about lessons, prompts, templates, cohorts, offers, or related resources. You can unsubscribe from marketing emails at any time.
  • To improve the website, course, content, templates, prompts, support process, analytics, and user experience.
  • To protect our business, users, course materials, intellectual property, platform security, payment systems, and legal rights.
  • To comply with laws, enforce our terms, respond to legal requests, and maintain business records.

5. Legal bases for processing European and UK personal data

If the GDPR, UK GDPR, or similar laws apply, we rely on these legal bases where appropriate:

  • Contract: to deliver the course, free preview, cohort, downloads, account access, support, billing, and refunds.
  • Consent: for certain marketing communications, cookie choices, testimonials, optional submissions, or other cases where consent is required.
  • Legitimate interests: to improve our products, prevent fraud, secure the platform, protect intellectual property, understand usage, and communicate about services you requested.
  • Legal obligation: to comply with tax, accounting, consumer protection, payment, dispute, and regulatory requirements.

6. How we share personal information

We may share personal information with service providers and processors that help us operate the business, including:

  • Course, CRM, website, checkout, and community platforms such as CC360 or equivalent tools.
  • Payment processors such as Stripe, CC360 payments, or equivalent processors.
  • Email and messaging providers such as Mailgun, Microsoft 365, CRM email tools, or equivalent providers.
  • Analytics, hosting, security, automation, and support tools used to operate, protect, and improve the site and course.
  • Professional advisors such as attorneys, accountants, tax advisors, consultants, and compliance providers.
  • Authorities or legal parties when required to comply with law, protect rights, prevent abuse, enforce our terms, or respond to lawful requests.

We do not sell your personal information. We do not knowingly share your personal information for cross-context behavioral advertising. If that changes, we will update this policy and provide any required opt-out mechanism.

7. Cookies and analytics

We may use cookies, pixels, local storage, and similar technologies to operate the site, keep pages secure, remember preferences, understand traffic, measure performance, improve offers, and troubleshoot technical issues.

8. AI tools, student materials, and client confidentiality

The Masterclass teaches AI-assisted workflows. You are responsible for deciding what information you enter into third-party AI tools, course forms, community posts, support requests, or Lab submissions.

  • Remove or mask unnecessary personal information before submitting client notes, examples, screenshots, trackers, or workflow material.
  • Do not submit information that violates a client agreement, NDA, privacy law, employment agreement, professional duty, or platform rule.
  • Use anonymized or redacted examples whenever possible.
  • AI drafts require human review before use with clients. You are responsible for the final output you send or implement.

9. Testimonials, case studies, and community content

We will not publish your name, photo, quote, case study, Time Saved Tracker screenshot, Loom clip, community post, or course result as a testimonial without consent where required. If you voluntarily submit a testimonial or agree to be featured, we may use the approved material in marketing, sales pages, emails, social media, or course materials.

Community posts may be visible to other members depending on the community settings. Do not post confidential client information, private personal information, or anything you do not have permission to share.

10. Data retention

We keep personal information only as long as reasonably necessary for the purposes described in this policy, unless a longer period is required or allowed by law.

  • Account and course records: kept while your account is active and for a reasonable period afterward for support, access history, and business records.
  • Billing, tax, and transaction records: kept as required for accounting, tax, fraud-prevention, dispute, and legal obligations.
  • Marketing records: kept until you unsubscribe or request deletion, unless we need to keep limited suppression records to honor your unsubscribe.
  • Support, refund, and guarantee records: kept long enough to resolve requests, document decisions, prevent abuse, and comply with recordkeeping obligations.
  • Community posts and submitted materials: kept while the course or community remains active unless deleted, removed, or retained for legal or operational reasons.

11. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No website, course platform, payment system, email system, or internet transmission is completely secure. You are responsible for keeping your account credentials confidential and using strong passwords where available.

12. International transfers

We may process and store personal information in the United States and other countries where we or our service providers operate. If you access the site or course from outside the United States, your information may be transferred to countries that may have different data protection laws than your location. Where required, we use appropriate safeguards for international transfers.

We collect and use this information for the business and commercial purposes described in Sections 4 and 6. We disclose personal information to service providers and processors as described in Section 6. We do not sell personal information and do not knowingly share personal information for cross-context behavioral advertising.

California residents may request access, deletion, correction, portability, and information about our privacy practices. You may also have the right not to be discriminated against for exercising privacy rights.

15. Children’s privacy

Our website, course, community, and services are intended for business owners and adults. They are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, contact us so we can review and delete it where required.
